Initiating a Request

To request a startup, please contact your TriState HVAC Sales Representative or Project Manager. To prevent delays, please have the following information ready when you make your request:

Site Details:

Full site address, including building name if applicable.

Site Contact:

Name, email, and phone number of the person we should
coordinate with for scheduling and site access.

Scope:

A brief description of the equipment requiring startup
(e.g., AHUs, Chillers, VFDs).

Special Requirements:

Any specific site needs, such as 32’ ladders, lifts, piping
diagrams, or background clearances.

Scheduling & Lead Time

To request a startup, please contact your TriState HVAC Sales Representative or Project Manager. To prevent delays, please have the following information ready when you make your request:

Standard Lead Time:

We require a minimum of 2 weeks’ notice for all startup
requests to ensure technician availability.

Confirmation:

Once we receive your details, our Service Coordinator will
work with you to confirm the date. We will reach out one
week prior to the scheduled visit to confirm the site status.

Overtime & Weekends:

Startups scheduled on weekends, holidays, or after-hours must be requested in advance and may incur additional overtime rates, diagrams, or background clearances.

Pre-Startup Readiness

To avoid cancellation, the job site must be fully prepared before our technician arrives.

Checklists:

You will receive a Pre-Startup Checklist. This document must
be completed and returned at least 2 business days prior to
your scheduled date.

VRF/VRV Projects:

For projects with multiple VRF systems, our team requires
a pre-site review one week prior to startup to verify
installation readiness.

Site Not Ready:

If a technician arrives and the site is not ready (or the checklist was incomplete), the startup will be rescheduled. Please note that a Rescheduling Fee (minimum $2,000) will apply, and the new date will depend on current queue availability., such as 32’ ladders, lifts, piping diagrams, or background clearances.

The Startup Visit

Execution:

Our technicians will perform the manufacturer-required
Check, Test, and Startup procedures.

Scope:

Only equipment included in the original request and Purchase Order will be serviced. Additional units found on-site will require a separate visit and a new Purchase Order.

Owner Training:

If owner training is required, please ensure this was included in your original purchase order. Mid-day training sessions generally require a full-day labor allocation.

Completion & Reporting

Reporting:

Upon completion, our technician will submit a CTS Report.
Our goal is to provide this report to you within 48 hours
of completion.

Warranty:

Following the startup, we will provide the final warranty documentation. Standard coverage typically includes 1st-year parts; however, labor warranties are generally not included
unless explicitly purchased.
